The Office Manager will have exceptional interpersonal skills and a passion for employee-centric office management. As a team member in this role, you will play a critical role in maintaining our welcoming and supportive company culture, ensuring a positive and safe office environment, and adding tremendous value to our daily operations. The job will require overseeing the office's general administrative function and activities, and serving as the organization's point person for internal and external partners, outside vendors, and service providers. Responsibilities:
- Foster and maintain a positive, welcoming, and employee-centric company culture
- Interface with both onsite and globally distributed company employees to provide crucial support
- Supports internal communications by communicating company-wide announcements, updates, and events
- Support HR and employment activities (hiring, onboarding, and offboarding processes); support training activities, recognition, and celebration initiatives
- Collaborate to organize fun events: regular happy hours, team and company-wide events, and other company activities
- Support Finance team processes, including budgeting, invoice processing, reconciliations
- Plan and coordinate office-wide facilities maintenance, space planning, equipment installations, and other work-space projects with internal and external stakeholders
- Maintain office/kitchen equipment, inventory, and orderliness
- Ensure a pleasant, safe environment for employees and communal office spaces
- Develop and ensure implementation of office policies and procedures
- Perform receptionist duties, including greeting visitors, answering and directing phone calls, receiving, sorting, and distributing mail and deliveries
- Perform assigned administrative duties, such as preparing documents, scheduling meetings, data input, reporting, user support, and company database or system updates
- Resolve day-to-day problems or coordinate the process and resources to obtain solutions
- Perform other related duties as assigned
Requirements:
- A minimum of an Associates degree in office administration or a related field is a must; Bachelor’s degree in Business Administration, Management, or a related field is preferred
- Experience in finding and maintaining business relationships with external vendors
- Experience working in a global start-up environment is a big plus
- Ability to understand and apply company policies and ensure adherence
- 2-4 years of administrative and office management experience is required
- Excellent verbal and written communication skills with the ability to convey information clearly and concisely
- Exceptional interpersonal skills
- Excellent organizational and time management skills, and ability to multi-task and prioritize work
- Experience working with G-Suite and Microsoft Office
- Must have exceptional attention to detail
- Must be a self-starter and driven
- Strong problem-solving skills and analytical abilities
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
